HCRA 2021 Annual Meeting
The HCRA has decided to hold the Annual Meeting via zoom on November 18, 2021 at 7:00 pm.

After registering, you will receive a confirmation email containing information about joining the meeting.
Due to the virtual nature of the annual meeting this year, should a vote of the membership be required during the meeting, instructions are being sent to each homeowner for how to enter votes via https://hamptonchase.ivotehoa.com/register. Each homeowner will have a unique code to enter the system to register their votes that will be emailed to you this week. PLEASE keep this code in a safe place that is easily accessible for the meeting. If you do not receive the email you can request your unique code by emailing your name and street address to email@example.com.
PLEASE, PRETTY PLEASE, PROXIES- Due to the virtual nature of the meeting, we are asking that our membership make all efforts to submit their vote online or by proxy form (but not both) in advance, either for quorum purposes or for voting on the slate of candidates, by scanning and emailing them to Cardinal Management at: firstname.lastname@example.org or mailing the original to: Cardinal Management Group, 4330 Prince William Parkway, Suite 201, Woodbridge, VA 22192.
Without quorum, Hampton Chase Recreation Association will not be able to take any actions at the annual meeting itself, including voting for candidates. Please either vote online or send in your proxy to help us make quorum.
The primary business of the Annual Membership Meeting will be to elect two (2) homeowners to serve on the Board of Directors. Both positions will be for a two-year term. Any homeowner in good standing is eligible to run for a seat on the Board of Directors. Enclosed is a Board of Directors Nomination Form. If you are interested in serving and would like to be a candidate, please complete and return the nomination form to Cardinal Management’s office by 5:00 p.m. on October 22, 2021 by emailing them to Cardinal Management at: email@example.com or mailing the original to: Cardinal Management Group, 4330 Prince William Parkway, Suite 201, Woodbridge, VA 22192.
This year, in lieu of submitting a paper proxy or ballot, we have added the option to vote electronically using a third-party representative. This is a safe and efficient method to increase participation. Each property with an email on file will receive an email invitation to vote from the community voting site: https://hamptonchase.ivotehoa.com/register. If you do not receive the email you can request your code by emailing your name and street address to Rebecca Rosario at Cardinal Manager at firstname.lastname@example.org.
Voting online is easy and quick in just three steps!
- Receive the email and click the link to go to the voting site
- Register for the vote by entering your information and creating a password
- Make your choices on the ballot and submit
When your vote is complete, you will receive both an onscreen confirmation and an email that the vote has been recorded. The entire process takes only a few minutes, probably less time than it took to read these instructions! You may vote electronically until 12 noon on November 18, 2021.
For those who do not wish to vote electronically, we have enclosed a paper proxy ballot for voting and quorum purposes. The paper proxy ballot must be received at Cardinal Management Group, Inc. 4330 Prince William Parkway, Suite 201, Woodbridge, VA 22192 or via email to email@example.com by 12 noon November 18th. Please do not vote electronically and submit a paper proxy.
